Salesforce Data Backup Explained: Which Option Do You Actually Need?

Salesforce administrators face a common nightmare: unexpected data loss. Imagine a scenario where someone accidentally deletes thousands of records or even an entire object, only to be met with the urgent question, “Do we have a backup?” For too many admins, the answer is uncertain. Why Salesforce Data Backup Matters

A frequent misconception in the Salesforce community is that Salesforce automatically backs up your data. This is not the case. If records are deleted, a faulty import overwrites important information, or a workflow malfunctions, you need a reliable way to recover that data. Relying on luck or assumptions isn’t a backup strategy—here’s what to consider instead.

Option 1: Manual Data Export

Manual data export is a free, built-in tool available to all Salesforce orgs. From Setup, you can initiate an export and receive a zip file of your data in CSV format via email. You then download and securely store it yourself. While simple and cost-effective, this approach comes with major drawbacks:

  • Once-a-week limitation: Exports can only be run weekly.
  • Manual process: Every backup must be triggered individually.
  • Short retention window: Downloads are available for just 48 hours before deletion.
  • Cumbersome restoration: Importing CSVs row by row is time-consuming and error-prone.

Manual exports are better than nothing, but hardly constitute a robust backup plan.

Option 2: Salesforce Backup Managed Package

This paid add-on automates backups by taking daily snapshots of your Salesforce data, eliminating the need for manual exports. Restoration is much simpler, with a point-and-click interface integrated directly within Salesforce. This is a significant step up for small to midsize organizations looking for ease and automation.

However, there are key limitations:

  • Backups reside within Salesforce: If Salesforce encounters an outage, both your live data and backups could become inaccessible.
  • Data only—not metadata: Only your core records, fields, and content are protected. Metadata elements like flows, profiles, permission sets, and custom configurations are not included.

Option 3: Third-Party Backup Tools (e.g., Own)

For the highest level of protection, organizations turn to third-party backup platforms like Own (formerly known as OwnBackup). These solutions offer:

  • External storage: Backups are stored outside of Salesforce, ensuring accessibility even during Salesforce outages.
  • Comprehensive coverage: Both data and metadata (flows, profiles, custom configurations, etc.) are protected.
  • Granular restoration: Restore a single record, object, or your entire org as needed.

The trade-off, however, is increased cost and complexity. These tools require more involved setup and are best suited for:

  • Enterprise organizations
  • Businesses handling sensitive data
  • Situations where downtime is unacceptable

Choosing Your Backup Strategy

The best backup solution aligns with your business size, complexity, sensitivity of data, and risk tolerance:

  • Small orgs on tight budgets: At a minimum, implement manual exports on a regular schedule, storing files in a secure, accessible location.
  • Orgs seeking automation: The Salesforce Backup Managed Package is an easy-to-use, effective upgrade from manual exports.
  • Enterprises or sensitive environments: Invest in a specialized third-party tool like Own for comprehensive, reliable, and automated protection.
