How can I backfill my contract data in Revenue Cloud?

Managing contracts in Revenue Cloud can be tricky, especially if you need to add older contracts. If your company is switching to Revenue Cloud, you must make sure past contract data is included so renewals work properly. Instead of creating assets one by one, you can backfill data into orders and let Revenue Cloud do the work.

Why Backfilling is Important

Revenue Cloud uses assets to track renewals. But adding them manually can be slow and complicated. A better way is to enter the data as an order, which lets Revenue Cloud handle the renewals automatically.

Steps to Backfill Contract Data

  1. Create an Order
    • Enter key details: Account Name, Order Start Date, and Price Book.
    • The Price Book ensures correct pricing in future renewals.
  2. Add an Order Action
    • This tells Revenue Cloud what the order is for.
    • Choose “Add” to include past contracts in the system.
    • Other choices are Amend, Renew, or Cancel for existing contracts.
  3. Set the Application Usage
    • This step links the order to Revenue Cloud’s contract tracking.
    • Go to Application Usage Assignment and set Application Usage Type to Revenue Lifecycle Management.
  4. Add Order Products
    • Enter product details: Quantity, Price, and Product Name.
    • The list price must match the Price Book in Salesforce to avoid pricing issues.
  5. Activate the Order
    • Once activated, Revenue Cloud will create the assets automatically.
    • You can then amend or renew them as needed.
