How to Connect Custodian Data to Salesforce Financial Services Cloud (The Right Way)

If your advisory firm uses Salesforce Financial Services Cloud (FSC) and works with major custodians like Schwab, Fidelity, or Pershing, you might not realize your advisors are working with incomplete client data every day. Not because the data doesn’t exist—it’s sitting right there at your custodian—but because Salesforce has no native awareness of it.

Why Salesforce FSC Needs a Deliberate Integration

Salesforce Financial Services Cloud is purpose-built as a CRM for wealth management. Unlike the base Salesforce platform, FSC speaks the language of advisory practices: households, financial accounts, client relationships, life events, and goals. It’s a powerful tool for managing relationships—but not for managing portfolio data.

  • Custodian: System of record for all positions, holdings, transactions, and balances.
  • Salesforce FSC: Where advisors track client relationships, goals, notes, and day-to-day activity.

There’s no out-of-the-box connector; that bridge must be built. The quality of your chosen solution determines whether data is clean, reliable, and trustworthy, or a source of ongoing pain.

Integration Options for Bringing Custodian Data Into Salesforce FSC

There are three main ways to integrate custodian data with Salesforce FSC, and each fits a different type of firm:

1. Direct Custodian Feeds

Pulling data straight from your custodian’s systems (e.g., Schwab’s advisor program, Fidelity’s Wealthscape, Pershing’s API gateway) into Salesforce. While this gives you data from the source, it requires major custom IT investment—field mapping, error handling, ongoing maintenance, and constant updates as custodians change their APIs. This route makes sense only for large firms with IT teams and unique requirements.

2. Portfolio Accounting System (PAS) as an Intermediary

Most RIAs already use a portfolio accounting platform like Orion, Tamarac, or Black Diamond. These systems specialize in normalizing (and reconciling) data from various custodians. The recommended architecture is to integrate Salesforce with your PAS, which already has robust feeds from the custodians. This means you get clean, normalized data with much less complexity to maintain.

3. AppExchange/ISV Pre-Built Connectors

Vendors such as Practifi, Sciens, Docupace, and others offer prebuilt integrations from FSC to major custodians. This is the fastest (but possibly less customizable) way to bridge the gap. It’s a strong fit for firms prioritizing speed and simplicity over bespoke customization.

Best Practice: Use Your Portfolio Accounting System

For most RIAs, the clear recommendation is to leverage your portfolio accounting system as the integration layer. Here’s what this architecture looks like:

  • Step 1: Custodian feeds data to your PAS (e.g., Orion, Tamarac).
  • Step 2: PAS cleans, reconciles, and normalizes that data.
  • Step 3: PAS then pushes clean data into Salesforce FSC.

You get nightly (or more frequent) updates, advisors always walk into meetings with current data, household rollups are automatic, compliance documentation is easier, and reporting becomes far simpler.

Key Considerations for a Successful Implementation

  1. Don’t Bypass Your PAS: If you already have a portfolio accounting system, avoid building direct custodian connections. It adds unnecessary complexity.
  2. Clarify Data Flow: Start with one-way (read-only) integration from the custodian to Salesforce. Bi-directional sync is a much bigger and riskier project—only pursue it if you truly need it.
  3. Use FSC’s Data Model: Always map portfolio data to FSC’s native objects for financial accounts, holdings, and transactions. Forcing data into generic Salesforce fields causes reporting and compliance headaches down the road.

Before Integration:

  • Advisors re-enter and reconcile data manually
  • Client meetings run on outdated numbers
  • Reporting requires gathering data from multiple sources, risking inconsistencies
  • Compliance is effortful and slow

After a Proper Integration:

  • Portfolio data flows into Salesforce automatically—usually nightly
  • Advisors see a complete and current household view before every meeting
  • Household AUM is always accurate and up-to-date
  • Compliance records generate organically as part of daily workflow
  • Reporting that used to take days can be completed in minutes
