Salesforce record types are a powerful feature that can bring clarity and structure to your organization—but only when set up correctly and used for the right purposes. Many organizations misuse record types, creating unnecessary complexity or missing opportunities for process improvement. In this post, we explore when and how to configure Salesforce record types effectively, using Opportunities as our prime example.
Record types are most beneficial when different business processes, page layouts, or picklist values are needed for specific subsets of records. Consider an Opportunity object handling both new business and renewal sales:
Start in Salesforce Setup and search for Sales Processes. Clone your existing process if needed. For example, remove prospecting and qualification stages from the renewal process if these are unique to new business.
Head to Page Layouts and create a new layout based on your naming conventions. Add or remove fields as appropriate (like adding a renewal date for renewals). This is your chance to customize record views to match business requirements.
From Setup, navigate to the object in question (e.g., Opportunity) and create a new record type, referencing your newly tailored sales process. Activate the record type and assign it (and its custom layout) to the appropriate profiles. Profiles can have different default record types and layouts if needed.
Tailor picklist options to each record type. For instance, allow only “Renewal” as a type for the renewal record type, while new business can include options for new customers, upgrades, etc.
Salesforce Path can display custom guidance and fields for each process step, tailored by record type. It’s a highly recommended enhancement for user experience and data quality.
