How to Set Up Advanced Approvals in Agentforce Revenue Management

Salesforce Revenue Cloud (formerly known as Agentforce Revenue Management) offers powerful tools for automating business processes, including advanced approval workflows. Implementing advanced approvals ensures your sales processes adhere to policy and compliance requirements while streamlining the experience for users. This step-by-step guide will walk you through configuring advanced approvals in your Salesforce org, including practical tips and automation options.

Enabling Advanced Approval Settings

Begin by navigating to Salesforce Setup and using the Quick Find tool to search for Approval Settings. Within this section:

  • Ensure that Use Flow Approval Processes is enabled.
  • Also enable Use Advanced Approvals to access the latest approval features.

These settings prepare your org to leverage Salesforce’s enhanced approval automation functionality.

Configuring Approval Flows

With the necessary settings enabled, the next step is building your approval flow:

  • Access Flow Builder and choose to create a new flow.
  • Explore available approval workflow templates such as Record-Triggered Approval Processes which can help you get started.

In this setup, an approval process is triggered when a quote’s status changes to In Review. You have multiple ways to automate this trigger—for instance, adding a button to your quote record that lets users manually move the status to “In Review.”

Setting Up Approval Steps

Within your flow, you can define specific approval steps:

  • Manager Approval Step: Specify what happens during this step. When a quote is sent for manager approval, decision screens (e.g., approve/reject) and comment input can be added.
  • If approved, the process marks the step as complete. If requirements aren’t met, you can customize the behavior as needed.

Automating Quote Submission

Often, organizations want quotes meeting certain conditions to be auto-submitted for approval. For example:

  • Create another record-triggered flow that monitors for discounts greater than 15%.
  • If such a condition is met (e.g., a quote in Draft receives a high discount), the status is automatically changed to In Review, triggering the approval process.

Testing the Approval Workflow

Testing ensures your approval flow behaves as expected:

  • Set up two user roles: one to submit quotes and one to approve them.
  • Create a test quote, edit as required, and trigger auto submission (e.g., by entering a high discount percentage and clicking save).
  • Once status changes to In Review, the quote record becomes locked, preventing further changes.
  • Log in as the approving user and view the approval item. Approve the quote and confirm that the status updates accordingly, including the addition of any comments explained during the approval.

Record Locking: Enhanced Control

A crucial feature included in flow-based approvals in Revenue Cloud is record locking. Once a quote is submitted for approval, Salesforce automatically locks the record, preventing unintended changes while approvals are in progress. Previously, this required custom logic in CPQ Advanced Approvals, but it’s now built into the standard process, enhancing security and integrity.
